2025 West Texas Conference Terms and Conditions 2025
This Agreement is between Texas Chiropractic Association (“TCA or “Event Organizers”) and you, the attendee (“Event Participant”). The TCA West Texas Conference 2025 will take place at the Cotton Court Hotel (the “Venue”), Lubbock, Texas, March 28-30, 2025. This Agreement includes and incorporates by reference the Privacy Policy/Terms of Use posted in the footer below. All written notice and requests, including requests for a copy of the posted Registration Terms and Conditions, as well as the Privacy Policy/Terms of Use, shall be sent to TCA at [email protected] or TCA, 1122 Colorado Street, Suite 307, Austin, TX 78701.
Agreement
By agreeing to these Terms and Conditions, you understand that you are registering to attend the TCA West Texas Conference 2025, an event managed by TCA, and all fees associated with your participation at the event are payable in full as per TCA’s payment terms. You may register on behalf of others; however, you are deemed to be liable for all associated fees for all Event Participants you register. Should you require assistance at any time, please do not hesitate to contact TCA via email or phone prior to finalizing your registration.
Registration Confirmation
On completion of your registration, a confirmation email will be sent to your individual email address. Please check your registration carefully. Should an error have been made, please contact TCA within 24 hours via email or withdraw or amend your registration. Should you not contact TCA within 24 hours, a cancellation fee will apply.
Registration Payment Terms
Payment of your registration fee and any selected add-ons are due on completion of your registration. A receipt will be emailed to you with confirmation of your registration payment. All fees are payable upon registration or prior to commencement of the Event to ensure admission, unless by prior arrangement.
Registration Cancellation & Refund Policy
Should circumstances change and you are unable to attend the TCA West Texas Conference 2025 you must contact TCA to receive a refund.
The TCA West Texas Conference 2025 refund policy is as follows (all amounts are in US Dollars):
· All cancellations are subject to a $50.00 administration fee.
· Cancellation before March 8, 2025: 50% refund of registration fee.
· Cancellations after March 8, 2025, failure to notify or no shows will not receive a refund.
TCA shall refund the remaining fees, if any, within thirty (30) days of receipt of the cancellation notice. Please remember that cancelling your registration does not automatically cancel your hotel and travel arrangements. Individuals are responsible for cancelling their own hotel and travel reservations.
Refunds will be made in the following ways:
Should the Event be cancelled or postponed due to unforeseen circumstances, TCA will attempt to process a refund within 90 days of such circumstances becoming known. Refunds will only be processed to the credit card or bank account of the individual, organization, or institution from which the payment was received. Should payment have been sent via check, you will be contacted to confirm your current mailing address, and a check will be mailed to you.
Badge Scanning/Sign-In Sheets
You may be asked to scan your badge or complete sign in sheets either at exhibit booths and/or session rooms. Please note scanning of your badge or signing in is required to receive continuing education hours. When your badge is scanned by exhibitors and/or sponsors during the TCA West Texas Conference 2025, you are opting-in to receiving communications from that entity. You will be subject to their communications and privacy policy and must opt out with them directly.
Photography, Audio and Video Recording
The TCA West Texas Conference 2025 is held in a public space; therefore, TCA does not prohibit participants, exhibitors, sponsors, news organizations or other companies from photographing or video or audiotaping some TCA West Texas Conference 2025 activities. TCA reserves the right to use images taken at the TCA West Texas Conference 2025 with your photograph and/or likeness in future marketing materials.
No audio or video recording is permitted during any sessions, without written permission from the TCA. Photographs may be taken, as long as they are not disruptive to the session attendees and speaker. The session speaker and/or TCA has the right to stop all unapproved photography at any time.
Exhibitor Badge Control
TCA West Texas Conference 2025 issued credentials are the sole property of the TCA must be surrendered upon demand to TCA Conference Representatives. TCA West Texas Conference 2025 issued credentials must be prominently displayed during the TCA West Texas Conference 2025 and are non-transferrable. False certification, misuse, or any other method to deceive TCA, will be just cause for expelling the exhibitor and their representative(s) from TCA West Texas Conference 2025 and/or banning them from future TCA events.
Any exhibitor’s representative, misuse of an exhibitor’s badge, or any other method or device used to assist unauthorized personnel to gain admittance to the exhibit floor, will be just cause for expelling the exhibitor and their representative(s) from the exhibit floor and/or banning them from future TCA events. This would also warrant the removal of the exhibitor’s booth from the floor without obligation on the part of TCA for a refund of any fees. The exhibitor, his/her employees and agents, and anyone claiming to be in the hall through the exhibitor, waives any rights or claims for damages arising out of the enforcement of this rule.
Solicitation of Attendees
TCA reserves the right to escort any individual from the TCA West Texas Conference 2025 who is reported to be soliciting outside the Exposition Hall and/or who is not a TCA West Texas Conference 2025 sponsor or exhibitor. TCA encourages attendees to support the paid sponsors and exhibitors who, in turn, are supporting the profession. TCA asks that you not to speak with any non-sponsor/non-exhibitor during the TCA West Texas Conference 2025 hours.
Drones
The use of Drones/Unmanned Aircrafts (“UAV”) is strictly prohibited at all times throughout the entire venue and the adjacent areas outside of the venue. UAV’s are devices that are used or intended to be used for flight in the air with no onboard pilot (either controlled manually or through an autopilot using a data link to connect the pilot to the UAV).
Admittance
In its sole discretion and without refund, TCA Conference Organizers reserve the right to refuse admittance to or expel from the TCA West Texas Conference 2025 anyone that it determines is behaving in a manner that could be disruptive to the TCA West Texas Conference 2025 or any other attendee.

For one or more of such reasons, TCA may postpone, reschedule, or cancel the event without liability on the part of TCA. In the event TCA West Texas Conference 2025 cannot be held or is postponed pursuant to this section, TCA shall not be liable to attendee for any damages, costs, or losses incurred, such as transportation costs, accommodations costs, or financial losses. TCA will review refund and/or fee transfer requests, submitted in writing, for approval on a situational basis.
